Director of Admissions, Elementary School

Position Summary:

Strategically oversee recruitment and admissions in the Elementary School to recruit mission appropriate families, retain current families and ensure a smooth admissions process. Serve as main contact for prospective families. Work with administration to set goals and strategy.

Responsibilities:

  • Develop recruitment, admissions and retention strategic plan in coordination with administration.
  • Plan, prepare and coordinate the Early Childhood Open Houses. Develop outreach plan to invite new external audiences.
  • Coordinate programming for new and current families to integrate into the school community.
  • Create school tour strategy and plan in order to highlight strengths of the Yeshivah. Develop talking points in coordination with marketing. Arrange, schedule and conduct all tours for new parents and students.
  • Manage the interview process and respond to admissions inquiries in a timely and sensitive manner. Work with registrar to oversee registration of new students.
  • Prepare and maintain statistics regarding enrollment, geographical distribution of students, financial aid, and attrition. Track progress and make projections. Report on data, when appropriate, to board and administration.
  • Plan and coordinate parlor meetings for recruitment in coordination with administration.
  • Continue to develop parent ambassador program. Develop parent ambassador handbook, including talking points and role responsibilities.
  • Build upon feeder school strategy. Tour feeder schools and invite them to our Yeshivah to continue to develop relationships and synergies.
  • Plan and coordinate focus groups in order to gain insights regarding recruitment, admissions and retention.
  • Research recruitment, admissions and retention methods of other schools in order to continuously learn of best practices and current trends and apply ideas in new and creative ways. 
  • Manage exit process for students leaving the school. Oversee transfer of transcripts and exit survey.
  • Develop and proactively oversee retention strategy in coordination with the administration in order to continuously strive to exceed parent expectations.

Requirements:

  • Bachelor’s degree plus three to five years experience in a customer service role.
  • Some independent school experience preferred.
  • Strong people skills and a friendly, outgoing approach, combined with the ability to demonstrate enthusiasm for and knowledge of the Yeshivah.
  • Ability to maintain confidentiality of sensitive information as needed.   
  • Strong organizational skills with attention to detail and ability to prioritize. 
  • Ability to work as a team member and an independent contributor.
  • Ability to use data to interpret results.

Executive Assistant

Position Summary:

The Executive Assistant will support our executive director. He/she will manage mostly business related tasks such as creating reports, setting up meetings, taking minutes, and other organizational tasks. To do this role properly, the candidate should have a detailed understanding of the full Microsoft Office suite, be extremely fast at solving problems, and have strong prior related experience supporting a senior executive.

Responsibilities:

  • Research and conduct data to prepare documents for review and presentation by boards of directors, committees, and executives
  • Manage Executive Director’s Calendar, set up and coordinate meetings, and accurately record minutes from meetings
  • Act as the liaison between the Executive Director and the Board of Trustees, the Executive Office Staff and the various educational divisions. 
  • Support the Executive Director with various projects and other administrative duties as needed.
  • Conserve executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Greet visitors to the executive office
  • Answer phones and route calls to the correct person and take messages
  • Maintain office supply inventory by checking stock; anticipate supplies needed; evaluate new office products; place and expedite orders of supplies; verifying receipt of supplies.

Requirements:

  • Must be extremely computer/ technical savvy with an in-depth understanding of entire MS Office suite, Google Docs and Calendar, with the ability to become familiar with organization specific programs and software.
  • Ability to organize and prioritize a daily workload and be able to meet deadlines in a fast-paced quickly changing environment.
  • Minimum 3-5 years of experience as an Executive Assistant or other relevant experience supporting senior management.
  • A proactive approach to problem-solving with strong decision-making skills.
  •  High degree of judgment, tact, and professionalism, as well as a profound respect for the confidentiality of the documents and communications involving the organization.
  • Excellent verbal and written communications skills.

Assistant Bookkeeper 

Position Summary:
The Assistant Bookkeeper supports the Director of Finance and the finance team, including the accounts receivable and accounts payable departments. This individual coordinates mostly business related tasks such as creating reports, bank reconciliations and keeping parent accounts up to date, among other assignments.

Responsibilities:

  • Greet and assist parents by phone and in person with their payments and accounts.
  • Enter payment plans into the online payment system used by the Yeshivah.
  • Assist with keeping bank reconciliations current on an ongoing basis.
  • Support the Director of Finance with various projects and other administrative duties as needed.

Requirements:

  • Extremely computer/technical savvy with an in-depth understanding of entire MS Office Suite, with the ability to become familiar with organization-specific programs and software, including FACTS.
  • Ability to organize and prioritize a daily workload and be able to meet deadlines in a fast-paced, quickly changing environment.

Ladies Auxiliary Program Coordinator

Schedule: Monday through Thursday 9:30 am - 5:30 pm; Friday 10:00 am - 3:00 pm

Position summary:

Ensure successful operations of Yeshivah of Flatbush Ladies Auxiliary. Coordinate programs and maintain office systems as well as serve as liaison to students, staff and parents.      

Responsibilities:

  • Organize, perform, coordinate and oversee operations of the Ladies Auxiliary for daily programs and special events.
  • Serve as liaison between students, staff and parents to ensure customer service through written, phone and in-person communications on a day-to-day basis and at special events.
  • Coordinate after school program, including website registration program, parent communications, staff as well as efficient and safe operations.
  • Track sponsorships for events throughout the year and assist with thank-you notes and acknowledgments.
  • Assist in management of the lunch and snack program, including website registration program, daily hands-on organization of lunches, daily in-person oversight at lunch and parent communications.

Requirements:

  • Proficiency with Microsoft Office Suite, including Word and Excel.
  • Ability to communicate clearly in written and verbal communications.
  • Ability to multitask, prioritize and execute efficiently.
  • Working knowledge of bookkeeping methods.
  • Experience coordinating programs and/or events.
  • High energy and proactive approach.
